Manager, Gift Planning - Full Time - Competition # 60-09
PRIMARY ACCOUNTABILITIES
- Planned Giving
- Identify current and potential donors as planned giving prospects. Plan individual strategies, cultivate and solicit planned gifts.
- Plan and follow-up on targeted mailings promoting various planned giving options.
- Develop & maintain a comprehensive Stewardship Program to attract and retain donors, event participants and volunteers.
- Major Gifts
- Develop an annual plan of goals and strategies, including precise and practical deadlines to maximize private funding for the Foundation and its priorities in concert with the overall goals of the SMD Foundation team.
- Identify, research, cultivate and solicit key prospects with interests in line with the work of the Foundation and vision and mission.
- Maintain awareness of prospective new donors and keep up-to-date information on current donor base; remain conversant on business and personal activities that affect major and prospective major donors.
- Direct Mail
- Provide leadership, direction and implementation of the SMDF Direct Mail Program.
- Plan and supervise solicitations by mail of the institution’s constituency to acquire new donors, upgrade current donors and solicit additional gifts from current donors.
- Develop and implement a program to create awareness among SMD constituencies that will result in gifts memorializing individuals and/or in honor of staff.
- Provide the COO, SMDF with regular reports, communicating progress toward annual and long-term goals, as well as emerging issues or opportunities.
- Recommend new initiatives, program policies and plans for discussion and approval.
- Establish, develop and maintain close working relationships with internal and external contacts, suppliers and consultants to facilitate fundraising.
- Develop the case statement for annual support to reflect the institution’s mission and vision.
- Responsible for preparing materials and communications needed to support fundraising efforts and collaborating with direct mail vendors throughout the production process to facilitate sign off of direct mail pieces from concept documents to final artwork files and ensure consistent representation of SMD and its image.
- Primary responsibility for developing relationships with annual donors based on SMD’s values and mission.
- Work with development staff and volunteer leadership, is responsible for the planning and implementation of a donor relations program (recognition and stewardship).
- Assure timely acknowledgments of donors’ gifts and commitments that meet tax requirements and donors’ expectations. Assure that proper gift records and donor files are maintained accurately.
- Prepare an annual operating budget with respect to areas of responsibility, in support of the development of the SMD Foundation consolidation budget, for review by the COO.
- Actively participate as a member of the Foundation’s management team. Contribute to the development of long term planning and annual budget processes for SMD Foundation Inc.
GENERAL ACCOUNTABILITIES
- Prepare and monitor direct mail project timelines including managing within tight timeframes and budgets.
- Manage the coordination of data requests.
- Assist with training and orientation of new volunteers and staff members on production-related activities.
- Conduct research and gather information to generate ideas for direct mail pieces, or to contribute to the content of a direct mail piece.
- Track all expenses and maintain accurate records of invoices, and work with direct mail vendors and the Accounting department to resolve invoice payment issues.
- Ensure that all database/data analysis requirements are met for the direct mail program including overseeing data extraction for all annual giving programs (direct mail, planned giving, major giving).
- Review segmentation (allocate donors to different groups based on their past giving performance, code, and track each separate group) for each mailing, and provide data estimates for fundraising planning.
- Oversee the extraction of list trade files from Raiser’s Edge for acquisition mailings.
- Oversee the updating of the donor database with sign ups, donor address changes and other relevant data.
- Generate donor reports as requested by colleagues.
- Liaise with list broker firm to manage the list trading, and list coordination for direct mail, including reviewing trade requests, approving, and forwarding data files as required, and reviewing list plans for upcoming mailings.
- Coordinate a variety of other direct mail activities, including other mailings as required.
- Liaise with vendors on all aspects of the direct mail program to help expand the program, which will in turn generate more revenue.
- Develop a marketing strategy for the SMD Foundation Planned Giving and Major Gift Programs.
- Ensure a presence is developed and maintained for the Planned Giving and Major Gift Programs within the community.
- Work with the Manager, Marketing & Lotteries in creating appropriate support materials such as newsletters, donor welcome packages, brochures and other promotional materials for the planned and major gifts programs.
- Work with the COO, SMDF to develop policies and procedures regarding gift vehicles, gift acceptance, donor recognition, administration and stewardship of planned and major gifts.
- Establish an appropriate committee structure, recruit and train volunteers.
- Participate on committees as required.
- Work closely with the COO, SMDF reporting on progress of the Planned Giving and Major Gift Programs.
QUALIFICATIONS
· Experience in direct mail working for a charity that has a major donor file including working with mail houses and printing vendors is required. Minimum of three years of experience in direct mail production or direct marketing will be considered.
· Advanced level using spreadsheet programs (Excel in particular); advanced knowledge of databases (Raiser’s Edge in particular). And experience with letter shop and direct mail production.
· Post-secondary education; or equivalent combination of training and experience in planned giving/major gifts with management experience of 5-7 years including knowledge of the legal, tax and financial aspects of planned giving and major gifts. Member of CAGP or CFRE designation is an asset.
· High degree of discretion when dealing with confidential/sensitive information.
· Excellent written and verbal communication skills and superior interpersonal skills and leadership strengths including tact and diplomacy; embraces diversity and is empathetic.
· Demonstrated project management experience and program planning skills, including managing within tight time frames and budgets, ability to establish priorities and objectives, ability to make independent decisions and to manage multiple priorities.
· A thorough knowledge of fundraising / development practices and principles.
· Ability to make independent decisions and to evaluate projects against broad strategic goals.
· Careful attention to detail.
· Ability to work independently but collaboratively.
· Ability to work with external stakeholders and capacity to deal effectively with a wide range of relationships and situations.
· Creative problem solving skills.
· Well developed computer skills in Microsoft Office Suite of applications as well as applicable business specific applications such as “The Raisers Edge”.
· Valid Manitoba Driver’s license and access to a vehicle.
· ASL and bilingualism (French/English) would be considered assets.
